Using the Media Library

The Media Library is your central hub for storing and managing every image and file you use across 1smart.link — from bio page cover photos and gallery images to vCard profile pictures and QR code logos. This guide walks you through uploading files, browsing your library, using the Media Picker to insert media into your content, and keeping your storage tidy.

Note: You need a free or Pro 1smart.link account to use the Media Library. Free accounts get 100 MB of storage. Pro accounts get 10 GB. Individual files must be 50 MB or smaller regardless of plan.

Open the Media Library

  1. Log in to your dashboard at www.1smart.link.
  2. Click Media Library in the left sidebar, or navigate directly to /dashboard/media.
  3. You will see all files you have previously uploaded. If this is your first visit, the library will be empty.

Upload files

You can add files to your Media Library in two ways: drag-and-drop or click-to-upload.

Drag-and-drop

  1. Open the Media Library page.
  2. Drag one or more supported files from your computer directly onto the upload area.
  3. Release the files. They begin uploading immediately.
  4. Once complete, each file appears in your library with a thumbnail preview.

Click-to-upload

  1. On the Media Library page, click the Upload button.
  2. Your device's file picker opens. Select one or more files.
  3. Click Open (or the equivalent on your device) to start the upload.
  4. The files appear in your library once the upload finishes.

Tip: Both methods work on drop zones throughout the app as well — for example, on widget image fields in the BioLink Builder. Dragging a file onto a drop zone uploads it to your Media Library and inserts it in one step.

Files in any other format will be rejected. Each individual file must be 50 MB or smaller — files that exceed this limit are blocked before they reach the server.

Understand how files are stored

Your Media Library is backed by pCloud's Public Folder feature. When you upload a file, it is stored in a dedicated pCloud folder linked to your account. The folder is named using your slugified display name and user ID (for example, aman-as_1).

Every uploaded file receives a permanent, direct URL on the filedn.eu subdomain. These URLs do not expire, which means you can use them beyond 1smart.link — in email newsletters, external websites, WordPress posts, or anywhere else that accepts an image or file URL. As long as the file remains in your library, the URL will continue to work.

Use the Media Picker to insert files

Whenever a feature in 1smart.link needs an image or file, it opens the Media Picker modal. You will encounter this modal frequently while building bio pages, creating vCard smart links, or customising QR codes.

The Media Picker has two tabs:

  • From Media Library — Browse and select a file you have already uploaded. Click the file to insert it.
  • Upload New — Opens your device's file picker so you can upload a fresh file. The file is added to your Media Library and inserted at the same time.

Where the Media Picker appears

  • BioLink Builder — Cover images, gallery widgets, shop product images, video thumbnails, and PDF cover images.
  • vCard smart links — Profile photos attached to your digital business card.
  • QR codes — Logo uploads for branded QR code centres.

In each of these contexts, you can also drag a file directly onto the relevant drop zone instead of opening the Media Picker manually.

Check your storage quota

Your dashboard tracks your total media usage in real time. Every upload increases your usage; every deletion decreases it.

When you reach your plan's quota, new uploads are blocked and you will see a clear error message. To free up space, delete files you no longer need. To increase your quota, upgrade to the Pro plan.

Delete files

  1. Open the Media Library.
  2. Find the file you want to remove.
  3. Click the trash icon on the file's thumbnail.
  4. Confirm the deletion.

The file is removed from both your library and the underlying pCloud storage immediately.

Warning: Deleting a file breaks its permanent URL everywhere it is used. If the file is embedded in a live bio page, widget, vCard, or external website, visitors will see a broken image or a dead link. Before deleting, check that the file is no longer referenced anywhere important.

Troubleshooting

Upload fails with a file-size error

Your file exceeds the 50 MB per-file limit. Reduce the file size — compress images, optimise PDFs, or split large files — then try again.

Upload fails with a quota error

You have reached your plan's storage limit (100 MB on Free, 10 GB on Pro). Delete files you no longer need to free up space, or upgrade your plan for more storage.

Image appears broken on a bio page or vCard

The image file may have been deleted from your Media Library. Open your library and check whether the file still exists. If it was deleted, re-upload it and update the relevant widget or vCard to point to the new file.

Unsupported file format

The Media Library accepts JPG, PNG, GIF, WebP, SVG, and PDF only. Convert your file to a supported format before uploading.
